The role requires prior relevant experience, as it involves managing sensitive data, supporting engineers and internal teams, and ensuring that all documentation and systems remain accurate and up to date.

Core Responsibilities and Daily Functions

In this role, the coordinator provides consistent administrative support to the Asset Management Minor Works function. This includes maintaining internal systems with a high level of accuracy and ensuring that all data is entered in a timely manner. The coordinator is responsible for uploading, filing, and managing documents within SharePoint, as well as keeping internal trackers updated for effective document and data management.

Professional communication is a key aspect of the job. Responding to emails and telephone calls promptly and courteously ensures smooth coordination between departments and external contacts. The role also involves ordering stock, spare parts, and installation materials for engineers, along with arranging site access when required. These tasks demand careful planning and attention to detail to avoid delays or errors.

Inventory and Coordination Duties

Another important responsibility is inventory coordination. The Asset Management Coordinator assists with stock organization, quote management, and stock-taking activities. Managing multiple activities simultaneously is a core requirement. The coordinator must prioritize tasks effectively, meet deadlines, and maintain quality standards, even when dealing with conflicting priorities. Understanding how individual actions impact other departments is essential, as the role contributes to wider service delivery outcomes.

Skills and Experience Requirements

Applicants must demonstrate previous administrative experience in a professional environment. The ability to work efficiently in a fast-paced setting is essential, along with a clear understanding of how to manage changing priorities. Strong computer literacy is required, particularly with intermediate-level skills in Excel and Word.
