The Role: Executive Assistant
We are seeking a highly experienced and organized Executive Assistant to provide proactive support to our Vice President and senior leadership team. This role requires exceptional organizational and communication skills in a fast-paced environment.
Key Responsibilities

Manage and maintain complex, dynamic calendars for senior leadership, coordinating meetings across multiple time zones.

Coordinate domestic and international travel arrangements, including visa/passport procurement and itinerary planning.

Draft, review, and prepare high-level correspondence, presentations, and reports.

Handle expense reporting, credit card reconciliation, and budget management.

Serve as a key liaison between leadership and internal/external stakeholders, maintaining strict professionalism and confidentiality.

Support onboarding processes for new hires and assist internal teams with administrative tasks.

Continuously seek opportunities to improve administrative processes and workflows.
Qualifications (Must-Haves)

Minimum of 10+ years experience supporting VP-level executives or senior management.

Experience in leveraging or critically analyzing AI tools to improve work processes, decision-making, or problem-solving.

Proficiency in Zoom, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Docs, Box, Concur, and other collaboration tools.

Strong organizational skills with the ability to manage multiple high-priority projects simultaneously.

Proven ability to handle confidential and sensitive information with discretion.

Experience in coordinating international travel and managing expense reports.
